Campus Center Meeting Room Policy

• Do not lower the window shades; they MUST remain raised at all times.
• Do not leave personal belongings.
• Do not sit on tables.
• Do not tape or hang signs, posters, notes, Post-its and other items on walls or glass.
• Clean up after yourselves (Windex and paper towels bin cabinet)

Cash Bag Request Instructions

• If your club needs a cash bag for your event, make sure to print out and fill out the Cash Bag Request and Sales Recap.
• The Cash Bag Request and Sales Recap must be submitted at least ten business days before the event to the student life and leadership development office.
• You must pick up and return the cash bag on the same day of your event to the cashier's office window in the Student Services (SS) Building. Their hours are as follows during primary semesters:
  • Monday through Thursday from 8 a.m. to 6 p.m.
  • Friday from 8 a.m. to 4:30 p.m.
• If you are returning the cash bag after hours, please call campus safety at (626) 914-8611 to open the building. Drop the bag in the SS 123 door slot along with the Cash Bag Request and Sales Recap.

Club Financial Code

1. All clubs must have an account in the college's fiscal services office through which all financial transactions shall be made. All money collected from dues, fundraising, etc. must be deposited into the club account.
   
   
2. A completed ASO Authorized Signatures form, listing the advisor(s) and any student authorized to conduct financial transactions, shall be maintained on file with the fiscal services office. Withdrawal of funds from the club account is permitted only by those individuals whose names appear on the approved form.
   
   
3. Check requests must be submitted to the fiscal services office at least three weeks prior to the date needed.
   
   
4. Advances for purchases may be obtained via check request, but all receipts must be turned in to the fiscal services office the day purchases have been made.
   
   
5. Reimbursements shall be made after all receipts have been turned into the fiscal services office.
   
   
6. Cash boxes and change are available for fundraising activities. They should be requested at least ten day prior to the activity and must be returned immediately following the activity.

The fiscal services office is located on the second floor of the Administration Building.

Club Printing Guidelines

Campus clubs can print up to 200 free 8.5 x 11 color copies per semester.

Unused copies will not roll over to the following semester.

NOTE:

• For event fliers, an approved activity request must be on file with our office.
• Our office will only accept ready-to-print documents — we will not format or edit documents.

Please allow three business days for the student life and leadership development office to complete the request.

Guidelines for Requests

1. To process your request, email the ready-to-print document(s) to Audrey Zepeda at azepeda@citruscollege.edu and provide us with the following information:
   • Club name
   • Full name of person submitting request
   • Position held in the club
   • Document name
   • Number of copies
   • Date needed
2. To ensure faculty advisors have approved the request, copy the following statement and paste it at the end of your email:
   
   My faculty advisor has approved the attached document and this printing request.
   
   
3. Lastly, cc: (copy) your faculty advisor in the email

You will receive an email confirming your submission, followed by an email once the print job is ready for pickup.

Making Deposits to Your Club Account

Please make deposits from sales to the cashier's office, located in the Student Services Building in SS 124, on the same day of the fundraiser.

To make the deposit, clubs must submit either a completed:

1. Fiscal services deposit slip
   or
2. Cash Bag Request and Sales Recap

IMPORTANT: The SLLD office will provide you with the account number that both forms require when the club's fundraiser is approved.

Fiscal Services Deposit Slip
Submit this form if you did NOT request a cash bag.

1. After the fundraiser ends, complete the form.
2. Submit the form, along with the cash, to the cashier's office in SS 124.

Cash Bag Request and Sales Recap
Submit this form only if you are requesting a cash bag containing $25 starter cash.

1. Complete the top portion of the form, stop at "Cash Bag Picked Up By." Submit it to the SLLD office for processing.
2. The cashier's office will notify the club when the cash bag is ready for pick up. They will return the form along with the cash bag.

If the fundraiser ends after business hours:

1. Place the form and cash in the cash bag or an envelope.
2. Call campus safety at (626) 914-8611 to open the building.

Check Deposits from Outside Fundraisers
Restaurants or TV networks must make the check to Associated Students of Citrus College ("club name") and can either:

1. Mail the check to the college,
   or
2. The club can drop it off to the fiscal services window (bursar's office), located on the second floor of the Administration (AD) Building.

The check will then be deposited into the club account.

Publicity Posting Procedures

Student organizations must have their publicity approved by the student life and leadership development office BEFORE posting.

1. Only 40 pieces may be posted for any event or class.

2. Approved posting locations are bulletin boards, identified on map (request the map from the student life office at studentlife@citruscollege.edu) and on unpainted exterior concrete block walls and columns.
   
   Off-campus and commercial organizations may only post materials on the open posting bulletin boards. Materials posted in all other locations will be removed.

3. No duct tape, glue, putty or spray adhesives may be used to affix materials.

4. Do not post on painted or glass surfaces, including doors and windows.

5. Do not post on trees.

6. Publicity may not be posted over previously posted, approved materials.

7. The originating individual or organization is responsible for maintaining its publicity in a neat manner.

8. Approved publicity may only be removed by a representative of the originating individual or organization or the designated student employee. "Open Posting" bulletin boards will be cleared of all materials every two weeks on predetermined dates.

9. Unapproved materials and materials posted in an unauthorized area will be removed.

This is in accordance with BP 3900 and AP 3900 Speech – Time, Place and Manner.
